Archive a video and keep its captions

Who this guide is for

Creators who are done with a video and want it off their Videos page without losing its captions.

Prerequisites

  • You are signed in.
  • A video whose status is Ready to review or Reviewed.

Step-by-step instructions

Where to find it: Videos, or Videos › <video title>

Archive one video

  1. On Videos, select the box button on the video's card, next to the trash button (hover text Archive). The card leaves the page at once.
  2. Or open the video. Under How long we keep this video, the panel Archive says "Takes the video off your Videos board, under Archived, and keeps its captions until you delete it. The video file and audio are still deleted on their dates." Select Archive video (shows Archiving). The panel becomes Archived and names the day.

Archive everything that is done

  1. In the Done section of Videos, select Archive all that are done (shows Archiving). It is shown as soon as one video there is All done: reviewed, and downloaded or on YouTube.
  2. The page says Archived 4 videos. (with your own number) with the link See the archive.

Find your archived videos

  1. On Videos, select the Archived chip in the filter row. The page shows Archived with the count and "Kept until you delete them. Open one to download, or put it back on the board."
  2. Open a video as usual to download its captions, review them again or add them to YouTube. Its card says Kept until you delete it.

Put a video back on the board

  1. On the archived video's card, select the arrow button (hover text Put back on the board). Or open the video and select Put back on the board in the Archived panel (shows Putting back).
  2. The video is back in its section on Videos, and its Kept until date applies again.

Important: An archived video keeps its transcript and captions until you delete it. Its video file and audio are still deleted on their dates, 3 days and 15 days after captioning, so Review captions plays nothing after that; you can still read and fix the lines.

Expected result

The video is gone from the sections on Videos and listed under Archived. On its page, Details says Kept until You delete it (archived), and the panel How long we keep this video shows Archived and Kept until you delete it under Captions and transcript.

Common questions / troubleshooting

Does archiving delete anything? No. It only takes the video off the board and stops the 90-day deletion of its captions. The video file and audio are deleted on their usual dates, archived or not.

Can I archive a video that is still being captioned? No. The box button appears once the captions are ready, with the status Ready to review or Reviewed.

I archived a video by mistake. Select the Archived chip, find the video, and select the arrow button (Put back on the board).

What counts as all done? A video you have reviewed (Finish review selected) whose captions you have downloaded or added to YouTube. See the guide "Find your videos and know how long they are kept".

Can I archive a video from the phone app? Yes. The app's video cards and video page have the same Archive and Put back on the board buttons, and the Archived chip on its Videos page.
